Online Booking System Terms and Conditions
Please read ALL these instructions carefully or you could end up paying more for, or losing, your booking.
A link to the online Booking system can be found at the foot of the page.
1. Persons entitled to Charter. The Royal Signals Yacht Club (RSYC) yachts are intended for use by:
- Priority 1 - Serving and Retired Members of the Regular and TA Royal Signals and their direct family, and members of other Arms serving on the strength of R SIGNALS units..
- Priority 2 - Serving Members of other Arms and Services.
- Priority 3 - Other users such as clubs and charities subject to prior approval by the Rear Commodore (Offshore) or by the Yacht Manager (UK).
The yachts are NOT intended for use by members of the public for private charter. Anyone who uses the online booking system who does not meet the criteria of para 1, will have their booking cancelled.
2. Payment Bands It is RSYC policy that entitled persons chartering the yacht pay according to a banding system which applies a generous discount to the full charter fee for Priority users. These discounts can be applied in the online booking process by entering a Voucher Code.
- Crews with a minimum 50% of Priority 1 personnel onboard throughout the charter are entitled to a 50% discount on the full price. Book using voucher code "RS1".
- Crews with a minimum 50% of Priority 2 personnel onboard throughout the charter are entitled to a 25% discount on the full price. Book using voucher code "RS2".
Eligibility for voucher discounts will be confirmed at the time of yacht handover. Ineligible crews will be required to pay the balance of full charter fees prior to embarkation.
3. Booking System. The online booking system provides visibility of yacht(s) availability throughout the charter calendar year. Bookings are first come, first served and only the Yacht Manager (UK) or, in exceptional circumstances, the Corps Bosun can cancel bookings.
- The booking process will ask you first to select the dates you would like to consider for charter. Use the popup calendar (or move one week or month to the left or right using the < << > >> buttons) to choose year, month and then a day. The yachts' availability for a period around the selected dates will be displayed.
This is important - Please read it carefully. Booking a date in the table below actually reserves the selected yacht for the period from 18:00 on the day before the first date booked until 15:00 on the last day of the booking. You therefore do not need to reserve the first evening of a charter if you plan to take over after 18:00 - You have the right to take over the yacht from 18:00 on the previous day, or on the first morning of your charter. You should confirm your arrangements in the Special Instructions box of the booking form or with the Bosun after booking.
-
Single day charters are permitted and will formally end at 15:00 but may be extended into the same evening if the next charter does not intend to take over until the following morning. Please confirm with the Bosun before assuming a late return may be possible or request his agreement in the Special Instructions message box on the personal details page of the booking process.
- To reserve vacant dates click once on the table on the first full date of your charter to begin. A popup box will then allow you to choose the number of nights you wish to charter.
- The booking screen will now show the booking you have just requested and the full cost (before discounts have been applied). You can make additional bookings at this stage if required. When you are ready to proceed with the booking make sure you enter any voucher codes you are entitled to in the appropriate box
- Click the long grey button marked "Click below to add to booking or click here to Continue". You will now be invited to select any extras you wish to purchase. These are generally charged per person per night. So, for example, if you require oilskins for six people for six nights you should enter 36 as the quantity required. Other items are charges are as shown. Each crew member, less those in Priority 1 above, are to pay RSYC membership once per season (clearly if they have already paid earlier in the season there is no requirement to do so again). Requests for a qualified skipper will be fulfilled if possible but availability of a yacht does not guarantee a skipper can be made available.
- You will now be invited to fill in some personal contact details. These are recorded for the purpose of managing your booking and the club's business only and not used for any other purpose. Completion of the online form signals your consent for such personal information to be stored for this purpose. RSYC will never make personal information available to third parties unless required to do so by law or whilst in pursuit of unpaid charter fees.
-
Use the Special Messages box to record any requirements for Day Charter only, early embarkation or late disembarkation.
- At this stage you will be asked to confirm you wish to proceed with your booking. Doing so will secure your provisional reservation and you will be provided with a Reference number. Please make a record of this (or print the page) although an email will also be sent automatically to the address you have provided.
- You will now be invited to pay the deposit for your booking at this stage. Please do so using the Paypal option if at all possible. You do not have to have your own Paypal account to do so. Your booking will not be confirmed until deposit payment has been received.
5. Special Offers and Restrictions. Mid-week bookings are encouraged. Monday bookings (actually commencing Sunday evening, of course) will be entitled to a "book five - pay for four" discount. Book for five days as normal starting on a Monday and the system will automatically charge you for only four nights. Summer weekend bookings commencing on Saturday (ie optional Friday evening takeover) are subject to a minimum 2 night booking restriction. This will be waived if the yachts remain unbooked within 14 days of the charter period.
6. Cancellation Policy. If you are required to cancel at some stage in the future you will be charged a proportion of the outstanding balance in accordance with R SIGNALS YC cancellations policy. In principle this means that if the Charterer cancels the charter more than 28 days before the commencement of the charter the 20% deposit will be forfeit. If less than 28 day's notice is given of cancellation before the commencement of the charter, the Charterer will be required to pay a balance to 50% of the full charter cost whether the yacht is re-booked or not. As well as deterring short notice cancellations, this fee covers the added costs of finding short notice replacement bookings. Charterer's are strongly recommended to take out insurance that will cover them for loss of charter fees in the event of cancellation. Cancellations due to operational circumstances are subject to the same rules and will be charged as above but may be reclaimable by the Charterer in accordance with Service Regulations. It remains the Charterer's responsibility to check eligibility and claim for any such refunds in these circumstances.
If a charter has to be cancelled due to non-availability of the yacht, the Yachtmaster will offer the Charterer the use of another boat (if available) with a reduction of the charter fee if applicable. If another boat is not available, or not acceptable, all fees paid will be returned.
Sorry about all the small print - but it is important that you read it thoroughly.
